Camera-ready upload, copyright form, and author registration must be completed by:
- main conference papers: April 5, 2019
- workshop papers: April 15, 2019
Instructions for final manuscript preparation
If you have received a paper acceptance email from the TPC co-chairs, please use these author instructions to prepare your final camera-ready paper.
Full papers length can be up to 9 pages, whereas short papers length up to 5 pages, including tables, figures and references. Full papers accepted as short papers must be reduced to 5-pages length.
Formatting checks are enforced in the submission phase for final manuscripts. Please allow extra time to fix any formatting errors and use PDF eXpress to generate a compliant file.
NetSoft 2019 is a full IEEE event so your final paper is planned to be included in IEEE Xplore for archival value after the conference. However, IEEE reserves the right to exclude an acceptance paper from inclusion in IEEE Xplore if it is not presented at the conference. Please follow these steps to finalize the camera-ready version of your paper.
1. Final paper submission template
- Prepare your final paper using the IEEE double-column US letter style format using IEEE Conference Proceeding templates available at:
http://www.ieee.org/conferences_events/conferences/publishing/templates.html
Attention: IEEE has updated the LaTeX template – please use the new template from the above link. - Please note that in addition to the corrections proposed by reviewers, only minor changes to the title and/or abstract may be accepted. Changes to author list are NOT allowed.
- For IEEEtran class in LaTeX, use the following as the first line in your LaTeX source file:
\documentclass[10pt, conference]{IEEEtran}
- Note that with IEEE conferences, the author affiliation is listed under the author’s name, unlike IEEE transactions.
- Do not add any page numbering, header or footer (other than the copyright info discussed below).
2. Copyright clearance code
The appropriate copyright clearance code notice is to appear at the bottom of the first page of each paper per the guidelines set forth in the Cataloging / Copyright Instructions for an IEEE Conference Proceeding. Detailed instructions can be found at:

- For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
- For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-5386-9376-6/19/$31.00 ©2019 Crown
- For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-5386-9376-6/19/$31.00 ©2019 European Union
- For all other papers the copyright notice is: 978-1-5386-9376-6/19/$31.00 ©2019 IEEE
Latex users can add the following lines just before the \begin{document} statement for the copyright notice to show up (shown below as an example for the fourth case above):

MS Word users can use: ‘Insert’ → ‘Text box’, insert the appropriate copyright notice in the texbox, and place the box (without border) at the bottom left on the first page.
3. IEEE PDF eXpress
Authors are required to use IEEE PDF eXpress to check if their final PDF file is Xplore-compliant. Papers that are not compliant will not be included in the proceedings nor published.
The PDF eXpress site can also be used to convert source files into an IEEE Xplore-compliant PDF file (e.g., for LaTeX users, create a ZIP file that includes DVI and EPS figure files all together, and then upload the ZIP file for the system to convert into a compliant PDF file; for MS Word users, upload the Word file and let it convert and return a compliant PDF file).
- Go to IEEE PDF eXpress Website: http://www.pdf-express.org
- Create an IEEE PDF eXpress account (use conference ID: 45739X)
- Use ‘new user’ if you haven’t used this site before
- Continue to enter information as prompted
- Do NOT use ‘Approve for collection’ in PDF eXpress Plus, if requested
The validated PDF obtained from PDF eXpress is the file that you must upload as a final version. It includes a label in the PDF metadata that certifies the compatibility with IEEE Xplore.
4. IEEE e-copyright form
Authors of accepted papers must complete the IEEE eCopyright Form. One copyright form is required for each accepted paper.
The electronic copyright form can be accessed via EDAS (http://edas.info) by selecting the “My Papers” tab, then selecting the paper title, and finally clicking on the “+” sign corresponding to the “copyright form” field. This will walk you through a series of steps. Make sure that the title/author list is EXACTLY as in your final camera-ready paper.
5. Conference registration
To be published in the IEEE NetSoft 2019 Conference Proceedings and to be submitted for inclusion in IEEE Xplore and other Abstracting and Indexing (A&I) databases, an author of an accepted paper is required to register for the conference at the Author rate and the paper must be presented at the conference by one of the co-author. Authors of accepted workshop papers must register for the workshop at the Author rate and the paper must be similarily presented at the workshop by one of the co-author.

One author registration is valid for up to 3 papers. The registration instructions are available on Registration Page.
6. Camera-ready paper upload
The final paper should be uploaded via EDAS (http://edas.info) by selecting the “My Papers” tab, then selecting the paper title.
Please double check the information that you provide during submission, including title of the paper, abstract, name, affiliation, and e-mail address of the authors.
Please list Authors in order of authorship. Be aware that you cannot add any co-author at this stage.
